Human resources coordinator / junior partner (maternity replacement)

Reporting to the HR director, in collaboration with the human resources partners/specialists, the human resources coordinator will provide technical and administrative support and apply the policies and procedures related to human resources. The human resources coordinator is responsible for assisting the Human Resources team in the execution of various tasks related to the day-to-day operations of the Human Resources department as well as the general administration of Kinova’s offices.

The position is a maternity leave replacement with the possibility of tenure as a junior human resources partner.

 

Main responsibilities

  • Manage employee files (opening, modification, archiving, etc.);
  • Draft contracts;
  • Welcome and coordinate the integration of new office employees;
  • Assist in the drafting and updating of letters and other HR documents;
  • Write employment confirmations, reference letters, and other documents upon request;
  • Manage internship grants (applications and follow-ups);
  • Ensure the management of documents (archives);
  • Collect data required to produce and update HR dashboards, as well as reports and statistics on human resources and recruitment;
  • Develop and ensure the implementation of various policies/programs in conjunction with the HR team;
  • Manage various HR programs and corporate policies;
  • Implement human resources management tools;
  • Coordinate all training activities related to the smooth operation of the company;
  • Maintain the annual HR calendar (administrative, events, and communication);
  • Support the management of the annual evaluation process and probationary period follow-ups;
  • Coordinate special HR events and projects;
  • Coordinate projects related to office space, seating assignments, and coordination of external stakeholders (grocery, suppliers);
  • Ensure internal and external communications related to the employer brand;
  • Provide support to other members of the HR team;
  • Perform special assignments and any other related projects.

With a view to evolving the role as a junior HR partner:

  • Upgrading our drive (employee records all in the same format);
  • Documentation of OHS files (work accidents) + preparation of dashboards;
  • Drafting of several types of letters;
  • Assist the senior talent partner in the documentation and coordination of various HR activities (Individual Development Plans (IDP), annual evaluation process, etc).

Requirements

  • Telecommuting: the position requires a minimum of three days/week of office presence;
  • College or university degree in human resources or administration or other related fields;
  • Experience in coordination/administrative support;
  • Thoroughness
